Version 1

DRAFT FOR LEGAL REVIEW. Not yet reviewed by a lawyer. Who we are. TrailBreak runs outdoor programs for children in the Salt Lake City area. This policy explains what we collect in the TrailBreak family portal, why, and your choices. What we collect. • About you: name, email, phone number, and who else on your account can sign forms or pay. • About your children: name, birthday, the programs and groups they are in, allergies, medications, conditions and care notes you give us, emergency contacts and approved pickup people, signed forms, check-in and pickup times, incident reports, and skills stamped in their passport. • Payments: what you paid and when. Card and bank details are handled by Stripe; we never see or store full card numbers. • Technical: sign-in records and basic logs needed to keep the service secure. Why. To run programs safely (care information goes to the guides responsible for your child), to enroll and bill, to send you program updates and reminders, and to meet legal obligations. Who can see it. Program staff see only the children in the groups they guide. Administrators see everything needed to run TrailBreak. Families see only their own information. Incident reports and staff notes are internal. Service providers. Supabase (database and sign-in), Stripe (payments), our email provider (Resend or Postmark), and Cloudflare (hosting and security). They process data on our behalf under their own security commitments. We do not sell personal information or use it for advertising. Children's information. Information about children is provided by their parents or guardians. [For the lawyer: COPPA and Utah-specific requirements.] How long we keep it. [For the lawyer: retention periods for program, medical, incident and payment records.] Your choices. You can update most information in the portal, download your family's data (Account → Your data → Export), choose which emails you get (safety alerts always reach you), and ask us to close your account and delete your data, subject to records we must keep.
